Recruitment and Retention Program Assistant

Job Summary

The Recruitment and Retention Departmental Assistant provides key administrative and data support to TACHC’s Recruitment and Retention Department. The administrative and data support facilitates the delivery of recruitment and retention services and technical assistance to member health centers across Texas. This position works closely with the Recruitment and Retention Director and Provider Services Specialists to implement processes and procedures to achieve programmatic objectives that meet workforce placement and retention goals and sustain the internally funded department.

Duties and Responsibilities

Create job ads and marketing materials

* Creation and maintenance of health center job ads via the Kontact Intelligence (KI) database for the purposes of posting on PracticeLink, 3RNet, and other online venues as required. Ads will be based on position profiles submitted to TACHC by member centers
* Maintain content for the recruitment & retention (R&R) portion of the TACHC website
* Maintain inventory of R&R promotional giveaway items, to include aiding vendors in the design of imprint/logo to be used
* Assist Recruitment and Retention Department in the design/creation of various online and print advertisements

Screen recruitment candidates and enter their information into database

* Perform online background screening on all candidates that submit the authorization release form acknowledging that TACHC will view personal information and enter their information into the KI database
* Follow up on direct contact leads and respond appropriately
* On an as-needed basis, perform candidate sourcing

Manage recruitment database and additional recruitment resources

* Maintain the accuracy of the KI database job postings and active candidates pool, as well as job postings duplicated on 3RNet and any additional online venues
* Support the sharing of R&R resources via TACHC Doc website and relevant TACHC listservs
* Maintain documentation of technical assistance provided to health centers
* Prepare and send quarterly Opportunity Status Reports to all centers with active job ads and update in the database as needed per center responses
* Conduct biannual KI candidate “purge” –contact all active candidates within the database at least twice a year to request an update regarding their availability/interest

Prepare quarterly reports to track and measure performance towards departmental objectives

* Compile data for quarterly R&R Metrics Report as well as R&R KI Statistics Report and be prepared to provide clarification/analysis

Invoice and reconcile payments for candidate placements

* Invoice health centers in accordance with TACHC R&R policy and procedures. Will track and reconcile placement fee payments regularly and inform Department Director of payment status

Assist in the planning, coordination and facilitation of all events and projects related to the department

* Participate actively and consistently in team meetings and related calls, contributing to project development, promoting positive problem-solving, sharing insights, and helping to identify support needs and potential solutions related to health center recruitment and staff retention, process concerns, and implementation issues
* Prepare materials for conference exhibits, residency/training program visits, and health center site visits. This includes maintaining and updating content/data in the department’s PowerPoint slide presentations and recruitment packet inserts, as well as maintaining adequate inventory for recruitment giveaways, letterhead, folders, and brochures
* Order catering for TACHC staff presentations at various medical residency and training programs
* Assist in the creation and maintenance of training materials for health centers

Act as general contact person for all matters pertaining to recruitment

* Act as general contact person for R&R information and retain an electronic record of all communications with centers
* Provide appropriate and knowledgeable public representation for TACHC in person, via email, on the telephone, and at conferences as needed

* Knowledge of clinical health care workforce environment
* Understanding of Primary Care Association and health center law and policy

* Knowledge of QuickBooks, especially invoicing process

Credentials and Experience


* Computer data entry experience
* Experience using Microsoft Word, Excel, Power Point and Adobe Acrobat


* Clinical health care workforce development experience
* Microsoft Excel, Word user certification/training
* Nonprofit experience
* Health center experience
